• Assessment Responses: Answers provided through our AI Readiness Assessment or other evaluation tools.
• Chat Content: If you use our on-site AI advisory chat feature, we collect the content of your messages and the assistant's responses. See Section 6 for details.

1.2 Automatically Collected Information

• Device & Browser Data: IP address, browser type and version, operating system, device identifiers, and screen resolution.
• Usage Data: Pages visited, time on site, referring URL, click patterns, and navigation paths.
• Cookies & Similar Technologies: We use essential cookies for site functionality and optional analytics cookies to understand usage patterns. You may opt out of non-essential cookies.

2. How We Use Your Information

3. Data Sharing & Disclosure

• Service Providers: Third-party vendors who assist with website hosting, email delivery, scheduling (Calendly), analytics, and AI chat functionality. These providers are contractually required to protect your data.
• Affiliated Entities: ThreadSync (our software product venture) for product-related inquiries you explicitly opt into.
• Legal Requirements: When required by law, regulation, or legal process.

4. Data Security

• All data in transit is encrypted via TLS 1.3 (256-bit).
• Data at rest is encrypted using AES-256.
• Access to client data is limited to authorized team members on a need-to-know basis.
• We maintain SOC 2 Type II compliance with annual third-party audits.
• All team members undergo background checks.

5. Data Retention

• Engagement Data: Client engagement materials are retained for the duration of the engagement plus 90 days, then securely purged unless a longer retention period is agreed in writing.
• Contact Information: Retained for as long as necessary to maintain the business relationship, or until you request deletion.
• Chat Logs: AI chat interactions are retained for up to 90 days for quality and service improvement purposes, then automatically deleted. See Section 6.
• Analytics Data: Aggregated analytics data is retained for up to 24 months.

6. AI Advisory Chat

Our website may include an AI-powered advisory chat feature ("Cichocki AI Advisory"). This section describes how we handle information in that context.

6.1 What We Collect

• Chat Content: The text of your messages and the assistant's responses.
• Interaction Data: Timestamps, session identifiers, device type, and browser information associated with chat sessions.

6.2 How Chat Data Is Processed

• Chat messages are transmitted to third-party AI service providers to generate responses. These providers process your messages under contractual obligations that prohibit them from using your data to train their models or for any purpose other than providing the chat functionality.
• We may review anonymized or aggregated chat interactions to improve the quality and accuracy of responses.

6.3 Important Limitations

Do not submit confidential, proprietary, regulated, or personally identifiable information through the chat feature. The chat is designed for general advisory questions only. For confidential matters, please schedule a call under NDA.

6.4 Chat Data Retention

Chat logs are retained for up to 90 days for quality improvement, then automatically deleted. You may request immediate deletion of your chat history by contacting privacy@cichocki.com.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your personal information
• Opt out of non-essential data collection
• Withdraw consent for communications
